Job Summary

Reporting to the Assistant Vice President, Facilities Management, the Accounting Manager performs financial and accounting duties and develops and implements systems for gathering, analyzing, verifying, and reporting various types of financial information. The Accounting Manager develops, supervises, and recommends procedures for obtaining cost and operations data from the Facilities Services Division using current database and fiscal system applications. The Accounting Manager prepares statistical reports on budget performance and productivity for the Assistant Vice President and assists other managers with cost reporting and billing. Additionally, the Accounting Manager analyzes Facilities Management Division financial data and summary reports related to construction, supplies and services, and other areas. The Accounting Manager performs month-end Banner feeds, obtaining approval from the Assistant Vice President to create MR&R projects. Serving as a key liaison with the College Finance Office, the Accounting Manager conducts complex studies and makes recommendations related to proposals, budget preparation and modification, expenditure analysis, and cost control.

 

Job Duties

  • 65% - Prepare monthly and quarterly budget reports. Support project analysis and validate plans, while managing the department’s financial accounting, monitoring, and reporting systems. Ensure compliance with accounting policies and regulatory requirements. Perform financial management duties, including generating financial data, compiling and submitting reports, analyzing industry trends, and assessing the financial health of the department. Oversee the operations and development of the department’s finance areas, including creating and reviewing policies, budgeting, recruiting, training, and conducting regular assessments of financial procedures. Advise colleagues and executive management on decisions related to the department’s finances. Supervise the documentation of the department’s financial status and forecasts. Develop analytical methods, procedures, and forms for obtaining operational data, and recommend accounting controls. Track, monitor, control, and encumber funds using facilities tracking software or other database or accounting systems. Prepare reports including the overall Facilities Management budget, overtime expenditures, student work program expenditures, and cost per square foot, and maintain key productivity indicators or work performance metrics (e.g., the annual FPI survey) with Facilities Management team members. Collect and analyze costs for individual area budgets and other projects, and alert management to atypical situations and the need for changes. Prepare monthly and quarterly reports. - (Essential)
  • 20% - Establish business reporting systems utilizing data processing and optical scanning equipment. Approve incoming project setups and purchase order (PO) requests for processing. Supervise, process, and manage invoice payments for Facilities, construction contracts, and professional services. - (Essential)
  • 15% - Hire, train, and coach staff, and enforce company policies, rules, and procedures. Monitor the day-to-day financial operations within the department (including invoicing, payroll, and other transactions). Address audits and inquiries related to specific contracts, encumbrances, and payments. - (Essential)

 

Minimum Qualifications

  • Bachelor’s degree in accounting, financial management, or other fields related to the position responsibilities, or an equivalent combination of education and experience.
  • Five years of progressively responsible accounting and financial management experience in facilities management services/company.
  • Experience in preparing program and cost reports with the interpretation of trends.
  • Demonstrated knowledge and ability to manage/perform accounting and financial management activities including procurement, budgetary practices, accounts receivable, and accounts payable.
  • Knowledge of CMMS or comparable systems.
  • Demonstrated ability and skill in devising and operationalizing various methods, procedures, and systems to resolve budget, financial, and administrative problems.
  • Demonstrated skill in developing and improving methods and procedures for obtaining information and comparing cost data.
  • Skill in developing/directing financial, fiscal, and statistical studies.
  • Ability to analyze, synthesize and organize data, and present findings in a comprehensible manner for different audiences.
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint), Google drives/folders/forms, Adobe Acrobat, Web Editing, and social media applications or any combination of productivity programs applicable to position responsibilities.
  • Demonstrated ability to be detail-oriented and thorough; skilled at anticipating and preventing potential problems and handling a wide variety of tasks with efficiency and accuracy.

  • Ability to provide employee development, training and opportunities for direct reports to demonstrate performance achievement and success; recognizing performance of both above standards and needs improvement and responding accordingly.
  • Skilled at communicating feedback verbally, in writing and electronically; and documenting performance via introductory and annual performance appraisals.
  • Skilled in developing and determining corrective employment/performance/behavioral strategies, as needed.
  • Demonstrated ability to design and execute performance improvement plans, conducting disciplinary action and/or determining the appropriateness of employment continuation.

 

Preferred Qualifications

  • Master’s degree in accounting, financial management, or other fields related to the position responsibilities.
  • Seven years of progressively responsible accounting and financial management experience in facilities management services in a college or university.

 

EXPECTED HIRING RANGE:  $73,900/yr-100,000/yr

If you are offered this position at Occidental College, your final base salary compensation will be determined based on factors such as skills, education, experience, and/or geographic location. In addition to those factors, Occidental complies with applicable pay equity laws and considers internal equity among current employees when developing the final offer. Please keep in mind that the range mentioned above is the base salary range for the role. Hiring at the maximum of the range would not be typical in order to allow for future and continued salary growth.  We also offer a generous compensation and benefits package.
