Job Summary

Reporting to the Executive Director, the Programming and Communications Coordinator supports the programming and communications components of Oxy Arts. This role interfaces with Oxy Arts artists, campus partners, faculty, staff, and operations, among others; supports staff in planning and preparing programming content, and manages marketing, communications and department organizational components. Serves as liaison between Oxy Arts and external partners and oversees student workers, when applicable.

This position is represented for purposes of collective bargaining by SEIU.

 

Job Duties

  • 35% - Provide essential administrative support to Oxy Arts - Manage exhibition and programming-related needs including the coordination of artist communications, materials, and general organizing in preparation for exhibits and events. Monitor and respond to general inquiries to the organization. Maintain a calendar and schedule of events. Manage physical and digital archives and organize. Prepare exhibit communication and marketing materials. - (Essential)
  • 25% - Support OXY ARTS exhibits, events and programs, encompassing planning, organization, and coordination to ensure successful execution and engagement - In concert with the Director and staff, support exhibits, events and programs. This may include securing locations, arranging for refreshments, managing guest accommodation, and ensuring each event runs smoothly from start to finish. Assist with online aspects of exhibits and events, including coordination with external organizations for event scheduling and logistics. Provide student worker direction/assignment. Assist in collecting and evaluating data related to exhibits and events to facilitate continual improvement and ensure the effective achievement of program goals and participant satisfaction. - (Essential)
  • 15% - Serve as the point of contact for the gallery guests and Oxy community at large, ensuring proper reception and engagement - Maintain clean and orderly work areas. Act as a primary point of contact with the College for coordinating calendar requests, publicity, marketing and general inquiries. - (Essential)
  • 25% - Serve as the point of contact for Communications and Outreach for OXY ARTS - Manage social media and newsletter content. Manage exhibition visual content via liaising with designers, printers, and other suppliers. Manage support for press releases including liaising with outside press contact. - (Essential)

 

Minimum Qualifications

  • Bachelor’s degree in liberal arts, administration, communications, or a related field aligned with the position responsibilities, or equivalent combination of education and experience.
  • Three years of experience in marketing/communications or administrative office support.
  • Strong problem-solving skills, with the capacity for independent decision-making in alignment with college policies and practices.
  • Adept at handling confidential information with discretion.
  • Demonstrated ability to interact professionally and effectively with students, professors, staff, and all members of the campus community.
  • Demonstrated ability to learn, adhere to, and ensure compliance with organizational procedures and guidelines. This includes developing a thorough understanding of the College's organizational structure, policies, and adapting effectively to changes and new requirements.
  • Demonstrated ability to lead and effectively supervise both staff and students, encompassing responsibilities such as delegating tasks, setting priorities, providing constructive feedback, and evaluating performance.
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint), Google drives/folders/forms, Adobe Acrobat, Web Editing, and social media applications.
  • Demonstrated ability to be detail-oriented and thorough; skilled at anticipating and preventing potential problems and handling a wide variety of tasks with efficiency and accuracy.
  • Strong commitment to a quality work product.
  • Demonstrated ability to effectively communicate verbally, in writing and electronically.
  • Effective interpersonal skills as evidenced in the ability to collaborate with a variety of constituencies.

Preferred Qualifications

  • Three years of experience in an academic environment with practitioner-level administrative support.

 

EXPECTED HIRING RANGE:  $20.19/hr-$25.40/hr

If you are offered this position at Occidental College, your final base salary compensation will be determined based on factors such as skills, education, experience, and/or geographic location. In addition to those factors, Occidental complies with applicable pay equity laws and considers internal equity among current employees when developing the final offer. Please keep in mind that the range mentioned above is the base salary range for the role. Hiring at the maximum of the range would not be typical in order to allow for future and continued salary growth.  We also offer a generous compensation and benefits package.
