Job Summary
Reporting to the Assistant Director, Compensation and Employment, the HR Employment Coordinator supports the administration of recruitment, hiring, and onboarding processes for designated employee groups, including nonexempt, temporary, faculty and student employees. Working collaboratively with hiring managers and under the guidance of the Assistant Director, this position facilitates employment transactions, coordinates onboarding activities, and helps ensure compliance with institutional policies and applicable employment regulations. The coordinator administers day-to-day student employment processes, assists students in obtaining on-campus employment opportunities, and provides administrative support for efficient Human Resources operations, including employment-related processes and documentation. The coordinator maintains confidentiality of sensitive information and assists Human Resources colleagues as needed to support departmental and institutional objectives.
Schedule: Monday through Friday from 8:00 AM to 5:00 PM (including a 60-minute unpaid meal break).
Job Duties
- 35% - Recruitment and Employment Coordination - Coordinates recruitment and employment activities for casual, temporary, faculty and student worker positions and provides backup support for regular full-time and part-time recruitment processes. Creates and posts job announcements and assists with advertising and outreach efforts to attract qualified candidate pools. Receives and screens employment applications, schedules interviews (if necessary), conducts initial candidate screening activities, and coordinates reference and background checks. Assists hiring managers with employment processes and required documentation. Coordinates onboarding activities and ensures completion of required hiring and employment forms. - (Essential)
- 25% - Student Employment Program Coordination - Coordinates day-to-day administration of the College's student employment program, including federal work-study and institutional student employment processes. Collaborates with Financial Aid and campus departments to support compliance with federal work-study regulations and reporting requirements. Assists students in obtaining on-campus employment opportunities and provides ongoing support regarding employment procedures and requirements. Assists with training and guidance for supervisors and student employees on student employment processes. Recommends and supports process improvements that enhance service delivery and user experience. - (Essential)
- 20% - Employment Operations and Compliance Support - Coordinates pre-employment requirements, including Form I-9 verification, employment eligibility review, background checks, and E-Verify processing. Enters and maintains employment-related data in the Human Resources Information System (HRIS) and other systems. Processes employment transactions and documentation in accordance with established policies, procedures, and regulatory requirements. Coordinates employment verifications, unemployment claims, and related employment administration activities. Assists with maintaining employment records and documentation while ensuring confidentiality and compliance with record retention requirements. - (Essential)
- 10% - Customer Service and Office Operations - Serves as a point of contact for routine recruitment, onboarding, and student employment inquiries and refers complex matters to appropriate Human Resources staff. Receives, screens, and directs calls, visitors, and correspondence; provides information regarding employment procedures, timelines, and requirements. Assists departments with questions related to student and temporary employee hiring processes. Provides day-to-day direction and support to front-desk student employees to ensure effective customer service. Supports reception and front office operations to maintain a professional and welcoming environment. - (Essential)
- 5% - Administrative Support - Reviews employment-related forms and documents for completeness and accuracy. Assists with maintaining current forms, resources, and procedural documentation. Maintains confidentiality of sensitive employee, applicant, and student information. Provides administrative support to Human Resources staff and departmental initiatives as assigned. - (Essential)
- 5% - Other Duties as Assigned - Performs other related duties and special projects in support of Human Resources operations and institutional objectives. - (Essential)
Minimum Qualifications
- Bachelor's degree in Human Resources Management, Business Administration, Public Administration, Higher Education Administration, or a related field or an equivalent combination of education and progressively responsible administrative, customer service, or human resources experience.
- Three years of progressively responsible administrative, human resources, recruitment, employment, customer service, or related experience.
- Experience coordinating multiple processes, maintaining confidential information, interpreting and applying policies and procedures, and working with diverse populations.
- Knowledge of human resources practices and procedures related to recruitment, onboarding, employment administration, and employee documentation.
- Knowledge of applicable employment regulations and compliance requirements, including employment eligibility verification and background check processes.
- Ability to coordinate recruitment, onboarding, and student employment processes while applying established policies and procedures.
- Ability to handle confidential information with discretion and exercise sound judgment when responding to employment-related matters.
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint), Google drives/folders/forms, Adobe Acrobat, Web Editing, and social media applications or any combination of productivity programs applicable to position responsibilities.
- Demonstrated ability to be detail-oriented and thorough; skilled at anticipating and preventing potential problems and handling a wide variety of tasks with efficiency and accuracy.

Preferred Qualifications
- Experience supporting recruitment, onboarding, student employment, or human resources operations in a higher education environment.
- Experience with HRIS, applicant tracking systems, and federal work-study administration.
- Bilingual proficiency in Spanish is preferred to support effective communication and service delivery with a diverse campus community.
EXPECTED HIRING RANGE: $20.20/hr-$28.00/hr
If you are offered this position at Occidental College, your final base salary compensation will be determined based on factors such as skills, education, experience, and/or geographic location. In addition to those factors, Occidental complies with applicable pay equity laws and considers internal equity among current employees when developing the final offer. Please keep in mind that the range mentioned above is the base salary range for the role. Hiring at the maximum of the range would not be typical in order to allow for future and continued salary growth. We also offer a generous compensation and benefits package.
