Job Summary

Reporting to the Accounting Manager, duties include processing invoices, utility bills, and purchase orders, MSAs, Task Orders and vendor support. Responsible for supporting the accounting processes including but not limited to invoice processing, setting up projects in “Mainsaver”, creation of work orders and accounting data tracking.

 

Job Duties

  • 65% - Responsible for processing invoices for both materials and contractors for the Facilities Mgmt group. Receive invoices from vendors, match with PO or receiving documents Invoice Match in Mainsaver and then prepare for manager’s signature. Once Invoices are approved deliver to AP & save Hdrive. Validates purchase order requests, cost centers, and signature authority before converting to Purchase Orders - (Essential)
  • 20% - Responsible for reviewing MSA/Task Orders, creating annual Purchase Requisition & converting to PO in Mainsaver. Validates purchase order requests, cost centers, and signature authority before converting them to PO. Once invoice processed close all POs. Responsible for creating Capital Project account, PR & PO in Mainsaver. - (Essential)
  • 10% - Review credit card reports. Work with Business Offices & FM personnel to process credit applications, W9 form and setting up of new vendors in Mainsaver and A/P- Business Office. Overseeing vendor accounts, reporting - (Essential)
  • 5% - Financial administrative work and other financial support tasks across the department. various other duties related to cost containment, analysis, and projection of department budget. - (Essential)

 

Minimum Qualifications

  • High school diploma or equivalent.
  • Some college level accounting courses and/or certifications.
  • Demonstrated understanding of accounting concepts and related support organizations, processes and technology.
  • Knowledge of maintenance, repair, construction terminology & skill. Proficiency in Microsoft Office applications (Word, Excel, PowerPoint), Google drives/folders/forms, Adobe Acrobat etc.
  • Demonstrated ability to be detail-oriented and thorough; skilled at anticipating and preventing potential problems and handling a wide variety of tasks with efficiency and accuracy.
  • Strong commitment to a quality work product. Demonstrated ability to effectively communicate verbally, in writing and electronically.
  • Effective interpersonal skills as evidenced in the ability to collaborate with a variety of constituencies.
  • Demonstrated commitment to justice, equity, inclusion & diversity.
  • Demonstrated skill in adapting to and performing work effectively in high-volume, high accountability, confidential environment with multiple and changing priorities.

Preferred Qualifications

  • Associate degree in accounting and/or minimum 3 years of progressively responsible experience in accounting related duties.
  • Demonstrated experience with Mainsaver software

 

EXPECTED HIRING RANGE:  $23.00/hr-$25.00/hr
