Job Summary

Reporting to the Assistant Vice President, Facilities Management, the Cleaning Services Manager plans, directs, and evaluates the work of supervisory staff and cleaning personnel to ensure high-quality custodial services across campus facilities. The Cleaning Services Manager oversees staffing, scheduling, and contractor coordination while developing and implementing operational policies, safety standards, and service expectations with campus partners. The manager administers the unit’s operating budget, monitors expenditure, and performs key administrative functions. The Cleaning Services Manager collaborates with campus departments on housing turnover, conference support, and facility projects, while representing Facilities on committees and assisting with long-term planning initiatives.

 

Job Duties

  • 30% - Plans, assigns, directs, and evaluates the work of supervisory staff and cleaning services personnel; monitors service quality and productivity and implements corrective actions as necessary. Oversee the scheduling and performance of contractor-provided maintenance services. Leads recruitment, interviews, and selection processes for supervisory and cleaning services personnel. - (Essential)
  • 20% - Contributes to the development and implementation of departmental policies and standards governing Cleaning Services operations, safety training, and employee performance; interprets and administers these policies and standards; and establishes operational priorities within the assigned area. - (Essential)
  • 20% - Manages administrative functions including labor reporting, approval of leave and vacation requests, and maintenance of timekeeping records. Recommends and enforces disciplinary actions for staff as necessary. Ensures comprehensive and accurate operational documentation, including multi-week and daily schedules, schedule completion metrics, estimated and actual job times, materials usage, work action codes, and work order documentation. - (Essential)
  • 10% - Oversee the Cleaning Services operating budget and monitor expenditure to ensure fiscal accountability. Prepares and submits budget recommendations to the Assistant Vice President, Facilities Management. Meets monthly with the Program Cost Analyst to review financial performance and ensure budgetary goals are met. - (Essential)
  • 10% - Establishes service level agreements and defines cleaning service expectations in coordination with building representatives and occupants. Collaborate with Conference Services to plan and coordinate cleaning services and room usage for summer conference groups. Partners with Residential Education and Housing Services prepare student housing facilities for fall occupancy. - (Essential)
  • 10% - Represents Facilities on campus-wide committees and contributes to strategic planning initiatives. Supports the Assistant Vice President, Facilities Management with Residence Hall 5-year master planning and collaborates with PD&C on project management as capacity allows. Oversee project documentation and execution, including defining work scopes, coordinating with vendors, reviewing proposals, preparing project documentation, conducting final inspections, and processing purchase and work orders. Participate in labor negotiations with Bargaining Unit representatives as necessary. - (Essential)

 

Minimum Qualifications

  • Bachelor’s degree in related field to position duties or equivalent combination of education and experience.
  • Five years of progressively responsible experience in custodial, housekeeping, or facilities management operations.
  • Experience managing budgets, operational reporting, and contractor/vendor coordination.
  • Demonstrated experience in developing or implementing operational policies, service standards, and safety programs.
  • A valid California driver’s license and be able to be qualified as an Occidental College designated driver.
  • Two years of supervisory experience.
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint), Google drives/folders/forms, Adobe Acrobat, Web Editing, and social media applications or any combination of productivity programs applicable to position responsibilities.
  • Demonstrated ability to be detail-oriented and thorough; skilled at anticipating and preventing potential problems and handling a wide variety of tasks with efficiency and accuracy.
  • Strong commitment to a quality work product.
  • Demonstrated ability to effectively communicate verbally, in writing and electronically.
  • Effective interpersonal skills as evidenced in the ability to collaborate with a variety of constituencies.

  • Ability to effectively design, define, describe and document job functions, responsibilities, tasks, and required qualifications associated with supervised positions, and the demonstrated skills in assessing candidates’ experience, knowledge, skills and abilities when hiring for vacant positions, ensuring the best choice of candidate.
  • Ability to provide employee development, training and opportunities for direct reports to demonstrate performance achievement and success; recognizing performance of both above standards and needs improvement and respond accordingly.
  • Skilled at communicating feedback verbally, in writing and electronically; and documenting performance via introductory and annual performance appraisals.
  • Skilled in developing and determining corrective employment/performance/behavioral strategies, as needed.
  • Demonstrated ability to design and execute performance improvement plans, conducting disciplinary action and/or determining the appropriateness of employment continuation.

 

Preferred Qualifications

  • Experience in a unionized environment. APPA Facility Management Credential, OSHA or environmental health and safety certifications.

 

EXPECTED HIRING RANGE:  $70,304/yr-$75,000/yr

If you are offered this position at Occidental College, your final base salary compensation will be determined based on factors such as skills, education, experience, and/or geographic location. In addition to those factors, Occidental complies with applicable pay equity laws and considers internal equity among current employees when developing the final offer. Please keep in mind that the range mentioned above is the base salary range for the role. Hiring at the maximum of the range would not be typical in order to allow for future and continued salary growth.  We also offer a generous compensation and benefits package.
