Job Summary
Reporting to the Director of Collections, Systems, and Services, the Acquisitions Assistant is a casual temporary position that will support the College Library’s purchasing of physical and electronic libraries materials and other items such as office supplies. The Acquisitions Assistant will focus on ordering and receiving library monographs, video, and other resources in physical and electronic format; processing materials for patrons to borrow; routing invoices for review and payment; and assisting other staff with copy cataloging library materials. The Acquisitions Assistant may also participate in special projects such as collection inventory, stack maintenance, and space shifting.
Job Duties
- 30% - Submits orders for requested physical and electronic materials through the Library’s vendor systems and recommends new purchases. - (Essential)
- 30% - Receives materials, reconciles invoices, and routes invoices to designated Library staff for payment review and approval. Maintains records of invoice processing and payment status using the Library Services Platform. - (Essential)
- 20% - Supports ongoing collections maintenance tasks, such as sorting, reshelving, covering books with mylar, and applying spine labels and stickers to materials. Assists staff in evaluating library materials for replacement, repair, or withdrawal. Participates in special projects such as collection inventory, stack maintenance, and space shifting. - (Essential)
- 20% - Assists with copy cataloging newly acquired and donated items as part of the Library’s materials management workflow. - (Essential)
Minimum Qualifications
- Bachelor’s degree in related field to position responsibilities or equivalent combination of education and experience.
- One year of experience in a library or similar information environment, or a combination of education and experience that demonstrates knowledge of library workflows. Familiarity with library systems, collection maintenance, and inventory processes is desirable.
- Familiarity with, or the ability to learn, library acquisitions and processing tasks using library and vendor systems.
- Experience with or understanding of cataloging or copy cataloging, including use of OCLC Connexion and basic knowledge of MARC and RDA standards.
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint), Google drives/folders/forms, Adobe Acrobat, Web Editing, and social media applications or any combination of productivity programs applicable to position responsibilities.
- Demonstrated ability to be detail-oriented and thorough; skilled at anticipating and preventing potential problems and handling a wide variety of tasks with efficiency and accuracy. Strong commitment to a quality work product.
- Demonstrated ability to effectively communicate verbally, in writing and electronically.
- Effective interpersonal skills as evidenced in the ability to collaborate with a variety of constituencies. Demonstrated commitment to justice, equity, inclusion, and diversity.
- Demonstrated skill in adapting to and performing work effectively in high-volume, high accountability, confidential environment with multiple and changing priorities.
- Effective organizational, logistical, time management and planning skills with the ability to manage and prioritize multiple tasks/projects simultaneously, prioritize and fulfill the functions of an office in a timely manner.
- Ability to self-motivate and work independently.
- Ability to provide effective leadership and training, and to work effectively and professionally across functions, disciplines, levels, and with diverse groups.
Preferred Qualifications
- Two years of experience in an academic or similar library environment.
- Demonstrated familiarity with library services and operations, higher education purchasing workflows, and technologies commonly used in library or departmental contexts.
EXPECTED HIRING RANGE: $18.00/hr - $20.00/hr
