Job Summary

Reporting to the Director of Pre-Health Advising, the Pre-Health Advisor will provide personalized academic and career guidance to students pursuing careers in the health professions. The Pre-Health Advisor is responsible for coordinating engaging events and workshops designed to support students in developing competitive applications to health professional schools. The Advisor serves as a collaborative and trusted resource, building meaningful relationships with students while handling confidential matters with professionalism and discretion. Strong attention to detail, exceptional communication skills, and event planning expertise are essential to supporting student success and contributing to the mission of the Office of Pre-Health Advising.

 

Job Duties

  • 30% - Allied Health Advising - Offer weekly 10–15 hours of academic and career advising for students interested in allied health careers, including but not limited to: physician assistant, physical therapy, occupational therapy, nursing, optometry, veterinary medicine, and pharmacy. Assist students in preparing for and applying to health professional schools and reviewing materials for the application process. - (Essential)
  • 30% - Pre-Health Programming and Support - Plan, coordinate, execute, and evaluate pre-health programming, including but not limited to workshops, panels, mock interviews, orientation fairs, and open houses. Manage event logistics such as room reservations, setup and cleanup, catering coordination, audiovisual support through IT, and attendee check-in. Supervise and coordinate student workers’ tasks and schedules. Utilize the Handshake platform to input events, schedule appointments, and extract relevant data. Maintain and update the OPHA website to ensure accuracy and relevance. Respond to inquiries from students, alumni, employers, and visitors via phone, email, and in person. - (Essential)
  • 20% - Marketing and Communication Support - Create social media content using Canva for platforms such as Instagram, Handshake, and departmental websites. Develop promotional materials to market pre-health engagement opportunities. Research, compile, and distribute weekly newsletters to the pre-health community. - (Essential)
  • 20% - Administrative and Data Support - Create and maintain detailed records using Excel for program tracking, attendee data, and assessment reporting. Develop data visualizations, including charts, graphs, and dashboards, to support program metrics. Manage the Director’s calendar by scheduling appointments and meetings. Coordinate travel arrangements, including conference registration, flights, and accommodation. Provide budget support through expense reports and budget reconciliation. Maintain office supplies and support general administrative operations. - (Essential)

 

Minimum Qualifications

  • Bachelor’s degree in marketing, communication, student administration or other fields related to position responsibilities.
  • Two years of experience working in an administrative/office/customer service environment.
  • Two years of experience performing functions related to data management.
  • Ability to analyze, synthesize and organize data, and present findings in a comprehensible manner for different audiences.
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint), Google drives/folders/forms, Adobe Acrobat, Web Editing, and social media applications or any combination of productivity programs applicable to position responsibilities.
  • Demonstrated ability to be detail-oriented and thorough; skilled at anticipating and preventing potential problems and handling a wide variety of tasks with efficiency and accuracy.
  • Strong commitment to a quality work product.
  • Demonstrated ability to effectively communicate verbally, in writing and electronically.
  • Effective interpersonal skills as evidenced in the ability to collaborate with a variety of constituencies.
  • Demonstrated commitment to justice, equity, inclusion & diversity.
  • Demonstrated skill in adapting to and performing work effectively in high-volume, high accountability, confidential environment with multiple and changing priorities.
  • Effective organizational, logistical, time management and planning skills with the ability to manage and prioritize multiple tasks/projects simultaneously, prioritize and fulfill the functions of an office in a timely manner.
  • Ability to self-motivate and work independently.

 

Preferred Qualifications

  • Experience at an academic institution in areas such as academic advising, alumni relations, or pre-health advising.

 

EXPECTED HIRING RANGE:  $20.19/hr-$24.50/hr

If you are offered this position at Occidental College, your final base salary compensation will be determined based on factors such as skills, education, experience, and/or geographic location. In addition to those factors, Occidental complies with applicable pay equity laws and considers internal equity among current employees when developing the final offer. Please keep in mind that the range mentioned above is the base salary range for the role. Hiring at the maximum of the range would not be typical in order to allow for future and continued salary growth.  We also offer a generous compensation and benefits package.
