Job Summary
Reporting to the Director, the Department Services Coordinator manages the daily operations of the Office for Religious and Spiritual Life (ORSL) and the Herrick Interfaith Center and Chapel, collaborating with leadership to plan, implement and evaluate campus religious and spiritual life events. The Coordinator supports the campus student religious and spiritual groups and religious advisors, and administers the office’s budget, grants and other finance and business operations.
This position is represented for purposes of collective bargaining by SEIU.
Job Duties
- 40% - Budget Administration: Administers the ORSL services and supplies budget, multiple grants, endowments, and other accounts. This includes reconciling accounting expenditures, transfers and other activities related to the departmental budget and submitting regular reports to the Director. - (Essential)
- 30% - Office Administration: Manages the daily operations of ORSL and the Herrick Interfaith Center and Chapel. This includes receiving visitors, performing general office functions including maintaining the ORSL website, creating posters and social media posts to promote ORSL events, triaging the departmental email account, organizing and maintaining the ORSL and chapel archives, ordering office supplies and dealing with vendors, coordinating maintenance of the building, and ensuring groups using the building follow the appropriate campus guidelines and policies - (Essential)
- 15% - Campus Programming: Works closely with the Director and ORSL staff to plan and host campus events to foster student, staff and faculty engagement in topics such as spirituality, religious diversity, interfaith dialogue and engagement, social justice, vocational discernment and related topics. This includes working with the Director to administer signature annual ORSL fellowships, programs, and events. - (Essential)
- 10% - Student Support Groups: Provides organizational guidance to the campus student religious and spiritual groups and their religious advisors, including scheduling/maintaining room reservations and AV and other needs for weekly meetings and special events; helping group arrange transportation for off campus events; and providing problem solving support as the groups plan campus events. - (Essential)
- 5% - Divisional and Campus Wide Activities: Attends Division of Student Affairs meetings and events and participates in Division initiatives including membership on Division committees as appropriate. Also represent ORSL at College wide events as necessary and appropriate - (Essential)
Minimum Qualifications
- Bachelor’s degree in liberal arts, administration, accounting, hospitality or other fields related to position responsibilities, or the equivalent combination of education and applicable experience.
- Three years of progressively responsible experience in office administration and management.
- Ability to analyze, synthesize and organize data, and present findings in a comprehensible manner for different audiences.
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint), Google drives/folders/forms, Adobe Acrobat, Web Editing, and social media applications or any combination of productivity programs applicable to position responsibilities.
- Demonstrated ability to be detail-oriented and thorough; skilled at anticipating and preventing potential problems and handling a wide variety of tasks with efficiency and accuracy.
- Strong commitment to a quality work product.
- Demonstrated ability to effectively communicate verbally, in writing and electronically.
- Effective interpersonal skills as evidenced in the ability to collaborate with a variety of constituencies. Demonstrated commitment to justice, equity, inclusion & diversity.
- Demonstrated skill in adapting to and performing work effectively in high-volume, high accountability, confidential environment with multiple and changing priorities.
- Effective organizational, logistical, time management and planning skills with the ability to manage and prioritize multiple tasks/projects simultaneously, prioritize and fulfill the functions of an office in a timely manner.
- Ability to self-motivate and work independently.
- Ability to provide effective leadership and training, and to work effectively and professionally across functions, disciplines, levels, and with diverse groups.
Preferred Qualifications
- Experience working in a college chapel or an office for religious life on a college campus.
- Experience working in a religiously, spiritually, culturally, ethnically and racially diverse community and possessing a commitment to equity, justice, diversity, and inclusion.
EXPECTED HIRING RANGE: $21.00/hr - $24.50/hr
If you are offered this position at Occidental College, your final base salary compensation will be determined based on factors such as skills, education, experience, and/or geographic location. In addition to those factors, Occidental complies with applicable pay equity laws and considers internal equity among current employees when developing the final offer. Please keep in mind that the range mentioned above is the base salary range for the role. Hiring at the maximum of the range would not be typical in order to allow for future and continued salary growth. We also offer a generous compensation and benefits package.
