Job Summary

Reporting to the Associate Vice President of Principal Giving, the Development Coordinator supports the administrative responsibilities related to the operations, systems, and logistics of the institutional advancement team focused on the College's most significant donors who have the capacity to make gifts of $500K or more to College. The Principal Gifts Development Coordinator ensures effective communication and coordination, anticipating and addressing the functional needs of the team in support of theirs’ and the College’s success.

This position is represented for purposes of collective bargaining by SEIU.

 

Job Duties

  • 60% - Coordinates and implements daily administrative functions of the Principal Gifts team including but not limited to: •. Managing the calendar of the AVP, Principal Gifts and scheduling meetings for the 2-person Principal Gifts team, often in close collaboration with the Executive Assistant to the Vice President, the Executive Assistant to the President of the College, and the Development Coordinator, Individual Giving. •. Drafting detailed agendas for meetings, including objectives and relevant materials. •. Collating and mailing letters, reports, receipts, and other communications. •. Making copies and scanning; e-filing. •. Answering and responding to inquiries via telephone and email; scheduling meetings and taking meeting notes; entering data; documenting and updating policies and procedures. •. Partners with Engagement Communications and Engagement Events teams, as needed, on producing Principal Gift-level communications and event support. - (Essential)
  • 30% - Develop comprehensive Presidential briefings on prospective donors, current donors, and Trustees. Assists with logging of contact reports and opportunities within the CRM; updates various tracking spreadsheets. Manages data and information requests to advancement services, engagement communications, office of strategic initiatives, faculty, departments and other campus partners. - (Essential)
  • 10% - Assists with all aspects of small donor visit logistics and occasional high-end, bespoke special events. Partners with Donor Relations on launching and administering a new Principal Gifts stewardship program. Assists with submitting the Principal Gifts team’s expense reports, invoices and contracts. Assists with coordination on projects for student workers, as needed. - (Essential)

 

Minimum Qualifications

High School Diploma or GED.Three years of progressively responsible experience in a similar administrative or coordinator role, preferably in a higher education or nonprofit environment. Ability to analyze, synthesize and organize data, and present findings in a comprehensible manner for different audiences. Proficiency in Microsoft Office applications (Word, Excel, PowerPoint), Google drives/folders/forms, Adobe Acrobat, Web Editing, and social media applications or any combination of productivity programs applicable to position responsibilities. Demonstrated ability to be detail-oriented and thorough; skilled at anticipating and preventing potential problems and handling a wide variety of tasks with efficiency and accuracy. Strong commitment to a quality work product. Demonstrated ability to effectively communicate verbally, in writing and electronically. Effective interpersonal skills as evidenced in the ability to collaborate with a variety of constituencies. Demonstrated commitment to justice, equity, inclusion & diversity. Demonstrated skill in adapting to and performing work effectively in high-volume, high accountability, confidential environment with multiple and changing priorities. Effective organizational, logistical, time management and planning skills with the ability to manage and prioritize multiple tasks/projects simultaneously, prioritize and fulfill the functions of an office in a timely manner. Ability to self-motivate and work independently. Ability to provide effective leadership and training, and to work effectively and professionally across functions, disciplines, levels, and with diverse groups.

 

Preferred Qualifications

Bachelor’s degree in liberal arts, communications, data management or other fields related to position responsibilities. Three years of progressively responsible experience in a similar administrative or coordinator role in a higher education fundraising environment.

 

EXPECTED HIRING RANGE:  $24.00/hr - $26.00/hr

If you are offered this position at Occidental College, your final base salary compensation will be determined based on factors such as skills, education, experience, and/or geographic location. In addition to those factors, Occidental complies with applicable pay equity laws and considers internal equity among current employees when developing the final offer. Please keep in mind that the range mentioned above is the base salary range for the role. Hiring at the maximum of the range would not be typical in order to allow for future and continued salary growth.  We also offer a generous compensation and benefits package.
