Job Summary

Reporting to the Associate Dean of Admission, the Assistant Director, Campus Visits and Events provide leadership for the planning, coordination, and execution of on- and off-campus recruitment programs, as well as daily campus visit experience for prospective and admitted students, families, and counselors across a year-round recruitment cycle and multiple admission rounds. The Assistant Director plays a central role in advancing a high-quality, consistent visitor experience that aligns with institutional enrollment goals and campus tour strategy. The Assistant Director will oversee the day-to-day management and ongoing development of the student tour guide program, including recruitment, training, scheduling, and performance oversight. The Assistant Director leads the coordination of group visit logistics and communications and contributes to the design and implementation of signature programming, including admitted student events, counselor programs, and summer engagement initiatives. Working collaboratively with campus partners, external vendors, and the enrollment communications team, the Assistant Director ensures cohesive planning, messaging, and execution across all visits and event activities. The Assistant Director provides operational leadership for campus visit infrastructure, including space reservations, calendar coordination, and centralized communications, ensuring efficiency and high standard of service across all visitor-facing functions.

This primarily campus-based, non-reading role, with limited local travel, is well-suited for a developing higher education professional with strong communication skills, attention to detail, and the ability to lead and adapt in a fast-paced, public-facing environment.

 

Job Duties

  • 20% - On Campus Event Execution - Provide strategic leadership for the planning, coordination, and execution of large-scale, on-campus admission events serving approximately 250-400 prospective students and guests per day. Serve as the primary point of contact for event delivery, ensuring alignment with institutional goals. Oversee the development and administration of contracts and service agreements internal campus partners and external vendors, ensuring operational effectiveness. - (Essential)
  • 20% - Daily Visit Management - Manage the day-to-day operations of the campus tour guide program, including scheduling, training coordination, and ongoing supervision. Provide leadership for the planning and execution of group visit experiences, including coordination of logistical arrangements, communications with school and community partners, and oversight of visit schedules to ensure a high-quality, seamless experience for all prospective students and guests. - (Essential)
  • 15% - Admission Officer of the Day (AOOD) - Deliver engaging and informative campus information sessions and supports the facilitation of panels and presentations for large-scale admission programs. Ensure consistent, high-quality, public-facing communication that reflects institutional messaging and enrollment priorities, with the ability to respond effectively to dynamic audience needs and on site circumstances. - (Essential)
  • 15% - Front-line customer service - Provide operational and administrative leadership in support to the admission office, including management of shared communication channels, coordination of admission officer calendars, and oversight of event space scheduling and confirmations. Serve as a primary point of contact for internal and external stakeholders regarding event logistics, ensuring timely responses, clear communication, and effective coordination across all visit and event operations. - (Essential)
  • 10% - Event Vendor and Campus Partner Relationships - Collaborate with campus partners, external vendors, and the enrollment communications team to plan, promote, and execute campus visits and event initiatives. Cultivate and maintain a strong relationship to ensure alignment, operational coordination, and the successful delivery of visit and event programming. - (Essential)
  • 10% - Support Admission Officers - Support seasonal enrollment and engagement programming by providing coverage for campus information sessions during peak travel periods and contributing to select evening and weekend events, including yield programs and summer engagement initiatives. Occasional local travel may be required in support of recruitment and outreach activities. - (Essential)
  • 10% - Support Student Worker Management - Partner with colleagues responsible for managing the Senior Fellows program, providing leadership and support for training, onboarding, and integration of program participants within the admission team. Contribute to the oversight of the Admission Summer Internship Program by supporting the recruitment, selection, training, and supervision of each summer intern cohort, ensuring meaningful engagement and alignment with departmental goals. - (Essential)

 

Minimum Qualifications

  • Bachelor’s degree in related field to position duties or equivalent combination of education and experience.
  • Two years of professional experience in an office or organizational setting.
  • Experience may include a combination of full-time professional work and/or significant student leadership experience involving project coordination, event planning, or staff supervision.
  • Demonstrated knowledge of residential liberal arts college environments and student experience models.
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint), Google drives/folders/forms, Adobe Acrobat, Web Editing, and social media applications or any combination of productivity programs applicable to position responsibilities.
  • Demonstrated ability to be detail-oriented and thorough; skilled at anticipating and preventing potential problems and handling a wide variety of tasks with efficiency and accuracy.
  • Strong commitment to a quality work product.
  • Demonstrated ability to effectively communicate verbally, in writing and electronically.
  • Effective interpersonal skills as evidenced in the ability to collaborate with a variety of constituencies.

  • Ability to travel in and out of state and a valid driver’s license.

 

Preferred Qualifications

  • Experience using Technolutions Slate, coordinating events, and/or prior work in a college or university admissions office.

 

EXPECTED HIRING RANGE:  $70,304/yr

If you are offered this position at Occidental College, your final base salary compensation will be determined based on factors such as skills, education, experience, and/or geographic location. In addition to those factors, Occidental complies with applicable pay equity laws and considers internal equity among current employees when developing the final offer. Please keep in mind that the range mentioned above is the base salary range for the role. Hiring at the maximum of the range would not be typical in order to allow for future and continued salary growth.  We also offer a generous compensation and benefits package.
