Job Summary
Reporting to the Director, Alumni and Parent Engagement, the Assistant Director is responsible for managing and expanding the institution’s regional program by recruiting and supporting alumni and parent volunteers. This role also coordinates existing affinity programs and develops new initiatives to engage the Oxy community. In partnership with the Oxy Fund, the Assistant Director helps cultivate volunteers to support philanthropic efforts. Additionally, the position designs and implements programs focused on engaging young alumni.
Job Duties
- 40% - Regional Chapter Management - Develop and implement a regional engagement plan focused on events and programs that reconnect alumni and parents with Occidental College. Recruit, manage, and steward a diverse group of volunteers, collaborating with them to create engaging programs for new audiences. Use proactive research strategies to support volunteer recruitment. Work with Institutional Advancement (IA) partners to identify strategies for donor pipeline development in the regions. Develop and track metrics to assess return on investment, collaborating with IA colleagues to maximize staff travel and capitalize on alumni and parent hosts. - (Essential)
- 35% - Affinity Program Management - Support and work directly with Oxy’s alumni affinity organizations. Manage volunteer efforts by recruiting, training, and supporting affinity alumni. Collaborate with volunteer groups to create annual plans and programs that meet the goals of each organization. Oversee affinity event implementation and provide quarterly financial updates for affinity organization accounts. Coordinate fundraising initiatives for affinity scholarships and philanthropic efforts in partnership with the Oxy Fund. Develop new affinity groups, particularly those aligned with institutional priorities. - (Essential)
- 20% - Young Alumni Engagement - Design and implement strategies to engage young alumni (10 years out) through networking events, regional gatherings, and affinity-based meetups. Work with the Oxy Fund to manage 5th and 10th Reunion class committees for Alumni Reunion Weekend. Create initiatives to support the transition from student to engaged alumni, such as senior class programs and "First Five Years" initiatives. Strengthen career and mentorship opportunities by partnering with the Associate Director, Alumni and Parent Engagement. Develop targeted communications for young alumni, utilizing newsletters, social media, and digital campaigns. Use data analytics to assess engagement trends and adjust strategies accordingly. Collaborate with Oxy Fund colleagues to encourage young alumni participation in giving campaigns. Recruit and train young alumni volunteers for leadership roles. - (Essential)
- 5% - Other Duties - Support the development and execution of event strategies for New Family Orientation, Homecoming & Family Weekend, Alumni Reunion Weekend, and other key engagement events. Provide staff support for the Alumni Board of Governors. Perform other duties as assigned. - (Essential)
Minimum Qualifications
- Bachelor’s degree in public relations, Communications, Higher Education Administration, Nonprofit Management or equivalent combination of education and experience.
- Five years of experience in volunteer management, event planning, and community engagement, with a proven ability to develop and execute programs that strengthen alumni and parent relations.
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint), Google drives/folders/forms, Adobe Acrobat, Web Editing, and social media applications or any combination of productivity programs applicable to position responsibilities.
- Demonstrated ability to be detail-oriented and thorough; skilled at anticipating and preventing potential problems and handling a wide variety of tasks with efficiency and accuracy.
- Strong commitment to a quality work product.
- Demonstrated ability to effectively communicate verbally, in writing and electronically.
- Effective interpersonal skills as evidenced in the ability to collaborate with a variety of constituencies.
- Demonstrated commitment to justice, equity, inclusion & diversity.
- Demonstrated skill in adapting to and performing work effectively in high-volume, high accountability, confidential environment with multiple and changing priorities.
- Effective organizational, logistical, time management and planning skills with the ability to manage and prioritize multiple tasks/projects simultaneously, prioritize and fulfill the functions of an office in a timely manner.
- Ability to self-motivate and work independently.
- Ability to provide effective leadership and training, and to work effectively and professionally across functions, disciplines, levels, and with diverse groups.
Preferred Qualifications
- Working in higher education or nonprofit environments, with a focus on alumni relations, volunteer coordination, and philanthropic initiatives.
- Familiarity with data-driven strategies to enhance engagement.
EXPECTED HIRING RANGE: $68,640/yr - $72,000/yr
If you are offered this position at Occidental College, your final base salary compensation will be determined based on factors such as skills, education, experience, and/or geographic location. In addition to those factors, Occidental complies with applicable pay equity laws and considers internal equity among current employees when developing the final offer. Please keep in mind that the range mentioned above is the base salary range for the role. Hiring at the maximum of the range would not be typical in order to allow for future and continued salary growth. We also offer a generous compensation and benefits package.
