Job Summary

Reporting to the Associate Director, the temporary Event Assistant works closely with the Alumni and Parent Engagement team assisting with multiple events including Alumni Reunion Weekend and regional events. The incumbent helps maintain event records as well as help prepare, set up, and take down events.

The Events Administrative Assistant is responsible for processing event and financial paperwork, tracking and managing event guest and financial data, creating and maintaining event documents and records, communicating with guests proactively and clearly with good customer service, creating and maintaining organized office spaces, office and event supplies, and event records, and helping set up for and clean-up from events. This position has a strong presence in the management of events, all of which have strategic and programmatic plans, which can range from highly active multi-event days/weekends on campus to singular campus events to events across the country. The position partners with campus colleagues and off-campus vendors to support the implementation of event logistics.

 

Job Duties

  • 100% - Support Alumni and Parent Engagement Programs: Support Alumni and Parent Engagement Staff with event preparation and execution duties Assist with Alumni and Parent online services including website updates, social media, etc. Centralize and manage volunteer intake form and develop process to share the data with staff/departments. - (Essential)

 

Minimum Qualifications

  • High school diploma or GED.
  • Valid California Drivers license.
  • One year of experience with events, clerical and/or related responsibilities.
  • Ability to analyze, synthesize and organize data, and present findings in a comprehensible manner for different audiences.
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint), Google drives/folders/forms, Adobe Acrobat, Web Editing, and social media applications or any combination of productivity programs applicable to position responsibilities.
  • Demonstrated ability to be detail-oriented and thorough; skilled at anticipating and preventing potential problems and handling a wide variety of tasks with efficiency and accuracy.
  • Strong commitment to a quality work product.
  • Demonstrated ability to effectively communicate verbally, in writing and electronically.
  • Effective interpersonal skills as evidenced in the ability to collaborate with a variety of constituencies. Demonstrated commitment to justice, equity, inclusion & diversity.
  • Demonstrated skill in adapting to and performing work effectively in high-volume, high accountability, confidential environment with multiple and changing priorities.
  • Effective organizational, logistical, time management and planning skills with the ability to manage and prioritize multiple tasks/projects simultaneously, prioritize and fulfill the functions of an office in a timely manner.
  • Ability to self-motivate and work independently.
  • Ability to provide effective leadership and training, and to work effectively and professionally across functions, disciplines, levels, and with diverse groups.

 

Preferred Qualifications

  • Bachelor’s degree in liberal arts, administration, communications or related field to position duties, or equivalent combination of education and experience.
  • Experience working in the higher education and/or non-profit fundraising/event planning environment.

 

EXPECTED HIRING RANGE:  $17.28/hr-$21.00/hr
