Job Summary

Reporting to the Senior Banquet Manager, provides daily support to the coordination and execution of all catered events on campus including private events. Manages alcohol control, linen and uniform supplies. Assists with the management and coordination of wedding ceremonies. Serves as system administrator of the Catertrax order management software and backup system administrator for 25Live Master Calendar system. Provides supervision of event support staff.

 

Job Duties

  • Assist with management, planning, organizing and coordinating the execution of wedding ceremonies, receptions and other external catered events.
  • Assist with management, planning, organizing and coordinating the execution of internal events, including working with internal clients, verifying Catertrax banquet event orders, providing signage and verifying allergen information for all food being served, as well as daily direction to Events Services staff members to effectively execute events in a timely and efficient manner.
  • Assist with creation and distribution of Banquet Event Orders (BEO) and event diagrams to the various production areas. Updates Catertrax banquet event orders with changes as they occur and communicates the changes to appropriate parties. Maintains the external catering accounts receivable system. Processes invoice, payments and refunds. Follow up on overdue accounts. Tracks event progress due dates and payment schedules.
  • Supervises full time and part time event services staff. Actively participates in training, development, scheduling, performance management and evaluation, and discipline. Follows human resources procedures in accordance with government regulations, campus and department policies and the bargaining unit contract.
  • Serves as the College’s system co-administrator, and the backup for the Master Calendar system (25-Live). Prepares, submits and tracks Master Calendar reservations and campus event plans.
  • Coordinates the inventory and storage of linens, uniforms and alcoholic beverages in accordance with ABC regulations.
  • Requests client reviews to actively participate in recommendations to update menus.
  • Ensures staff, guest, food, equipment and facility safety at all times. Performs all duties in a safe manner. Takes appropriate measures to prevent hazards, including training staff. Reports hazards as required through proper channels.
  • Adapts to changing business and technology needs. Learns and implements new procedures and technology as appropriate.
  • Helps create SOPs for the catering department, and trains Event Services staff to follow SOPs, as well as assists with documenting when SOPs are not being followed.
  • Contributes positively and effectively to the total team management effort within Hospitality Services, allowing for many large special events, major projects and peak workload periods.

 

Minimum Qualifications

  • Bachelor’s degree in culinary arts, business management, hospitality or related field. Consideration will be given to an education/experience equivalency.
  • One to two years management experience in a high-volume catering operation.
  • Demonstrated technical skills, knowledge, creativity and abilities in the catering field.
  • Demonstrated ability to provide superior customer service and adapt to the desires of a diverse clientele.
  • Possess practitioner level proactive skills in leadership, supervision, written, electronic/digital and verbal communication.
  • Physical ability to tolerate prolonged standing and walking for extended periods and to bend and lift up to 30 pounds.
  • Demonstrated proficiency in office technology applications including Google Drive, MS Word and Excel with experience in routinely creating and using spreadsheets.
  • Demonstrated adaptability to a flexible work schedule, including working evenings and weekends as event schedules dictate.
  • Obtain and retain a ServSafe Manager Certification within 6 months of hire.
  • Obtain and retain a College Designated Driver status within 6 months of hire.
  • Obtain and retain a STARS beverage service training within 6 months of hire.
  • Demonstrated ability to work effectively within a diverse community of students, employees, faculty, staff and others.
  • Possess a high degree of integrity, ethics and dedication to the mission of the College.

 

Preferred Qualifications

  • Work experience in a college or university environment.
  • Experience with 25 Live, and Catertrax.

 

EXPECTED HIRING RANGE:  $66,560 - $68,000/yr

If you are offered this position at Occidental College, your final base salary compensation will be determined based on factors such as skills, education, experience, and/or geographic location. In addition to those factors, Occidental complies with applicable pay equity laws and considers internal equity among current employees when developing the final offer. Please keep in mind that the range mentioned above is the base salary range for the role. Hiring at the maximum of the range would not be typical in order to allow for future and continued salary growth.  We also offer a generous compensation and benefits package.
