Job Summary

The Associate Director of Alumni and Parent Engagement will report to the Director of Alumni and Parent Engagement and will work closely with volunteers, as well as with team members within Institutional Advancement. This position will oversee the development and stewardship of engagement volunteers, who will be critical to the success of Oxy’s pipeline development and strategic philanthropic goals. The Associate Director will work closely with their counterpart in the Oxy Fund, and with the Director of Alumni and Parent Engagement, to educate, organize, empower and align volunteers in support of Oxy’s philanthropic goals. The Associate Director will also be directly responsible for the program strategy and implementation of Alumni Reunion Weekend, and serve as the primary point person for class planning committee management. This position will provide coordination and support for established affinity programs, and lead the development of new affinity organizations.


Job Duties

Engagement Volunteer Program Management

  • 20% - In partnership with the Director of Alumni and Parent Engagement, design, implement, and oversee the engagement volunteer program’s strategic initiatives.
  • 20% - Collaborate with A&PE colleagues to create a cohesive strategy for volunteers across all program areas, and ensure that volunteers are stewarded appropriately.
  • 20% - Work with Institutional Advancement colleagues to identify key prospects for volunteer positions, and develop strategies for current volunteers who should be cultivated for leadership positions.
  • 20% - Develop a reporting structure that measures growth within the cohorts, and partner with the Director of A&PE to ensure that goals and metrics are in alignment with non-monetary Institutional Advancement goals.
  • 20% - In collaboration with Oxy Fund and Engagement Planning colleagues, plan annual volunteer trainings including the Volunteer Leadership Conference.
  • 20% - Develop tools and systems that educate and empower volunteers to serve as ambassadors for the College.

Reunion Planning

  • 35% - Oversee program strategy, development, and implementation for Oxy’s Alumni Reunion Weekend, including volunteer recruitment and class planning committee management.
  • 35% - Coordinate with Engagement Communications to develop a segmented outreach strategy that will create a sense of excitement and appeal to broad cross sections of the alumni community.
  • 35% - Develop a program strategy that identifies key campus and community initiatives and achievements, and highlights them in the lead up to and over the course of Reunion Weekend.
  • 35% - Work closely with Oxy Fund staff to coordinate efforts around Reunion Planning and Reunion Giving committees, and develop a deep understanding of fundraising goals and initiative related to the Reunion program.
  • 35% - Employ survey technology and metrics to determine effectiveness of outreach and program strategies, and measure success. Prepare and distribute reports to volunteer leaders and senior staff on program impact.
  • 35% - With the support of A&PE colleagues, create a profile for each reunion class that incorporates key events from a class’s time on campus; identifies both influencers and notables within the cohort; and addresses possible barriers to attending.

Affinity Program Management

  • 40% - Work directly with and support the efforts of Oxy’s alumni affinity organizations.
  • 40% - As part of overall volunteer management, identify, recruit, train and manage affinity alumni.
  • 40% - In coordination with volunteer groups, develop an annual plan and slate of services that achieve each organizations’ goals.
  • 40% - Manage affinity event implementation.
  • 40% - Provide quarterly financial documents on affinity organization accounts.
  • 40% - In collaboration with Oxy Fund colleagues, coordinate fundraising efforts around affinity scholarships and philanthropic initiatives.
  • 40% - Manage the development and establishment of new groups, particularly those that advance Institutional priorities.


  • 5% - Collaborate in the development of event strategies and implementation for Homecoming, Family Orientation and other key alumni and parent engagement events.
  • 5% - Provide staff support for the Alumni Board of Governors.
  • 5% - Other duties as assigned.


Minimum Qualifications

  • Bachelor’s degree in related field
  • Knowledge of modern data management practices and techniques including data-based computerized information systems, data modeling, and models of analysis that leads to effective decision making on behalf of the program.
  • Proven ability to work independently as well as collaboratively on a team, strong writing, revising, editing and proofreading skills, and the ability to maintain a high standard of accuracy and quality under pressure of deadline and with a high level of professionalism.
  • A demonstrated excitement and interest in building and coordinating regional communities and key groups of alumni, parent and student volunteers.
  • Ability to effectively communicate the value, message and brand of Occidental College.
  • Excellent oral, electronic and written communications skills.
  • Demonstrated success in work organization, project and time management.
  • Personal proactive initiative and an ability to manage projects simultaneously, to set priorities and follow-through on projects.
  • Willingness to work evenings, weekends and travel.
  • Demonstrated ability to effectively motivate, train and support colleagues and volunteers.
  • Ability to set collaborative goals and to see projects to completion in reflection of goals.
  • Ability to work effectively in a team environment – with a mix of deans, faculty, alumni, parents, students and staff. Excellent interpersonal skills and a strong customer service orientation.


Preferred Qualifications

  • An appreciation for and understanding of the value of a liberal arts education, with specific understanding of Occidental College preferred.


EXPECTED HIRING RANGE:  $69,200 - $71,500/yr

If you are offered this position at Occidental College, your final base salary compensation will be determined based on factors such as skills, education, experience, and/or geographic location. In addition to those factors, Occidental complies with applicable pay equity laws and considers internal equity among current employees when developing the final offer. Please keep in mind that the range mentioned above is the base salary range for the role. Hiring at the maximum of the range would not be typical in order to allow for future and continued salary growth.  We also offer a generous compensation and benefits package.
