Job Summary

Reporting to the Senior Director of Advancement Services and supporting the entire Institutional Advancement operations for Occidental College, the Manager of Salesforce Administration and Business Intelligence will bring critical leadership, project management, and data analytics skills to propel the team and College forward with a new CRM platform, Salesforce’s Education Cloud. As a new position, this role will maintain and strengthen the operation engine that drives IA to support the design, development, and deployment of a new CRM to support a visionary fundraising model for higher education.

 

Job Duties

CRM Project Management
Under the direction of the Senior Director of Advancement Services, project manage the design, development and deployment of a new CRM for fundraising (scoped through July 2025)
● Manage backlog; establish a process for reviewing and triaging cases and establish a timeline for feature development and “bugs”.
● Serve as the primary liaison with key contractors, including account executives and customer success managers at our platform and SaaS vendors
● Develop user stories across IA to deliver key features to meet key objectives and strategy.

Database Management
● Serve as the primary system administrator for the platform.
● Manage backlog of requests for feature fixes and enhancements, and net-new initiatives.
● Design and deploy best practices for data hygiene and business process for constituent data, related records, and all fundraising data by IRS requirements and CASE standards.
● Manage the Data Control Specialist whose primary responsibility is data hygiene and maintenance.
● In conjunction with the Senior Director of Advancement Services, design a multi-year strategy for data, including routine data audits, annual data cleaning tasks, and ongoing initiatives to improve constituent data quality.
● Work with the Senior Director and ITS leadership to ensure adherence to data security and data governance protocols
● Manage all user provisioning across the Salesforce and third-party platforms and portals.
● Partner with ITS, the Registrar, HR, the Business office, and other leaders to maintain integrations with external data sources.
● Maintain an updated roster of technology tools, contract timelines, licensing costs, and use cases.
● In conjunction with other leaders across IA, support the development and training for document generation, marketing automation, events management, giving platforms, and Experience Cloud (donor portals).
● Independently and with other leaders in IA, make budget requests for CRM development, additional third-party tools, and/or licenses for staff to extend the functionality of the platform and meet goals.

Analytics & Business Intelligence
● Maintain existing suite of reports; oversee the management and regular review of IA reports for IA and College leadership, gift officers, program directors
● Develop and maintain dashboards for stakeholders outside of IA

Staff Training & Professional Development
● Own the development and updating of all College-specific training resources for the CRM.
● In partnership with the Senior Director of Advancement Services and other team leaders, develop and deliver training for onboarding, annual training cycles, and feature deployments.
● Make budget requests for training and professional development opportunities for the broader IA team.   
● Maintain regular communication streams with key internal and external stakeholders regarding system updates, maintenance reporting schedules, and roll-over practices.

Supervision
● Directly supervise a report writer/business analyst and data control specialist.
● In a matrix model, manage work distribution with ITS’ committed developer resources for IA.

 

Minimum Qualifications

-Bachelor’s degree or additional years of equivalent experience.

-Salesforce Admin I certification.
-Five years of progressively responsible professional experience.

- Three years of experience as a CRM administrator and/or business intelligence analyst.

Knowledge, Skills and Abilities:
● Salesforce Admin I certification required; Salesforce Admin II, Platform Developer, and/or CRM Analytics (formerly Tableau) certifications highly preferred.
● Proficiency with a variety of programming languages is a plus: SQL, Apex (Salesforce’s coding language), Javascript, CSS and/or HTML.
● Proven experience as a project manager with outstanding work organization and time management skills.
● Experience developing and delivering training on technology platforms.
● Excellent communication skills
● Experience and comfortability with a matrix model of supervision and workstream ownership
● Professional experience in a higher education, non-profit and/or fundraising environment

Preferred Qualifications

Education: Salesforce Admin II, CRM Analytics (Tableau) and/or Platform Develop certifications preferred
Experience: Three years of management experience; five years of experience as a CRM administrator and/or BI analyst in a higher education, fundraising or finance setting.

 

EXPECTED HIRING RANGE:  $90,000 - $95,000/yr

If you are offered this position at Occidental College, your final base salary compensation will be determined based on factors such as skills, education, experience, and/or geographic location. In addition to those factors, Occidental complies with applicable pay equity laws and considers internal equity among current employees when developing the final offer. Please keep in mind that the range mentioned above is the base salary range for the role. Hiring at the maximum of the range would not be typical in order to allow for future and continued salary growth.  We also offer a generous compensation and benefits package.
